The Travel Coordinator is responsible for organizing and executing all travel and housing arrangements for healthcare professionals on assignment. Working in direct coordination with recruiters, credentialing teams, and clinicians, this role demands strong organizational skills, attention to detail, and the ability to thrive in a fast-paced environment. Travel Coordinator - Summary
- Coordinate all travel and housing logistics for healthcare professionals on temporary assignments nationwide
- Ensure cost-effective, timely, and seamless travel experiences for clinicians
- Collaborate with recruiters, compliance teams, and credentialing staff to support assignment placements
- Serve as the primary point of contact for clinicians regarding travel arrangements and solutions
Duties & Responsibilities
- Travel Coordination: Arrange and book domestic flights, rental cars, and ground transportation for healthcare professionals, either directly or via third-party vendors
- Coordinate travel itineraries based on assignment start dates and client requirements
- Manage last-minute travel changes, cancellations, and emergency bookings as needed
- Housing & Accommodation: Secure temporary housing, extended-stay hotels, or corporate apartments for clinicians; negotiate rates and ensure compliance with guidelines
- Ensure housing arrangements meet both company standards and traveler preferences
- Itinerary Management: Prepare and distribute detailed travel itineraries and confirmations to clinicians and internal teams
- Maintain organized records of travel schedules and documentation
- Internal Collaboration: Work closely with recruiters, compliance, and onboarding teams to coordinate logistics and communicate updates or potential issues
- Cost & Expense Management: Monitor expenses, maintain cost-effective booking practices, and ensure alignment with company budgets and policies
- Enter expenses into expense software, upload receipts, and reconcile travel expense reports monthly
- Traveler Support: Act as the primary contact for clinicians facing travel disruptions, special accommodation needs, or questions regarding logistics

Qualifications & Requirements
- Associate’s or Bachelor’s degree preferred
- 1-3 years’ experience in travel coordination, corporate travel, or healthcare staffing travel
- Demonstrated experience booking flights, hotels, and transportation using travel platforms
- Strong organizational and multitasking skills
- Excellent communication and customer service abilities
- Proven problem-solving skills and attention to detail
- Ability to manage urgent travel changes in a fast-paced environment
- Preferred: Experience in healthcare staffing or travel nurse staffing
- Familiarity with corporate travel systems such as Concur, Egencia, or Sabre
- Experience in vendor negotiation and housing coordination
