In this full-time RMA Coordinator position, you will be responsible for issuing RMA sales orders, communicating with customers, managing inbound product verification, and maintaining comprehensive RMA documentation. The RMA Coordinator also works closely with cross-functional teams, such as customer service representatives, production specialists, project managers, and finance staff, to coordinate replacement or debit product actions as required by product classification. By effectively managing the transition between legacy and modern RMA databases, such as Epicor and Factory Logix, you will help ensure data integrity and process continuity for all RMA operations.
The RMA Coordinator is expected to operate in compliance with established procedures, such as procedure CS-0004, and to maintain a proactive approach to resolving discrepancies, reporting weekly RMA trends, and supporting ongoing improvements in the RMA process. RMA Coordinator - Summary
- Oversee the complete RMA process, including sales order issuance, product receipt, and database management.
- Serve as the main liaison between customers and internal departments regarding RMA status and requirements.
- Ensure compliance with company guidelines and industry standards for returned materials.
- Support the transition and reconciliation between legacy and current database systems.
- Provide regular reporting on RMA trends and backlog status.
Duties & Responsibilities
- Issue RMA sales orders and define the scope of work for all product returns.
- Communicate and correspond with customers as needed to address RMA issues.
- Scan inbound products and verify work order numbers received against records.
- Issue receipt purchase order numbers and generate files for product receipts.
- Create and maintain RMA work packets and completed RMA files.
- Verify Factory Logix readiness and initiate work order launches.
- Release RMA products into the Factory Logix database accurately.
- Monitor the real-time status of the RMA backlog and shipment plans.
- Release work orders, collect costs, and update associated sales orders as required.
- Reconcile data between Epicor and Factory Logix databases related to RMAs.
- Collect final work order costs for non-warranty product returns.
- Manage the shutdown of old RMA databases and the startup of Epicor RMA databases.
- Report weekly RMA trends to management and relevant teams.
- Coordinate debit and/or replacement product actions with customer service, project management, or finance, based on product classification.
- Collaborate closely with RMA production specialists and all supporting functions.
- Operate in full compliance with procedure CS-0004 and related company policies.
