As an RFx Coordinator, you will play a pivotal role in supporting a high-performing Strategic Sourcing team by managing the comprehensive execution of competitive sourcing events. In this dynamic position, you will ensure that all processes related to Requests for Information (RFI), Requests for Proposals (RFP), and Requests for Quotations (RFQ) are structured, compliant, and completed on schedule. This role is essential for maintaining the organization and integrity of sourcing activities, enabling senior sourcing leaders to focus on strategy and supplier selection.
The RFx Coordinator position involves close collaboration with sourcing leaders and cross-functional stakeholders, including legal, finance, and business teams, as well as external suppliers. You will be the central point of contact for all sourcing event communications, ensuring that everyone involved is informed and aligned throughout the process. Your organizational skills and attention to detail will be crucial in navigating complex procurement cycles and managing multiple projects simultaneously.
In this role, you will coordinate the full lifecycle of RFx events, from planning and documentation to execution and closure. You will be responsible for preparing and maintaining sourcing materials, managing schedules, organizing supplier responses, and supporting cost analysis efforts. Additionally, you will be expected to maintain thorough documentation and ensure that all sourcing activities adhere to internal policies and compliance standards.

RFx Coordinator - Summary
- Central role supporting the Strategic Sourcing team in managing RFx events (RFI, RFP, RFQ)
- Ensures structured, compliant, and timely execution of sourcing activities
- Acts as a liaison between internal stakeholders and external suppliers
- Upholds procurement policies and compliance standards
Duties & Responsibilities
- Coordinate the complete lifecycle of RFx events, including planning, documentation, scheduling, and execution
- Prepare and maintain critical sourcing documentation such as statements of work, requirements matrices, evaluation criteria, and scoring tools
- Manage RFx event schedules and ensure adherence to all deadlines by internal and external stakeholders
- Act as the central point of coordination for all supplier communications, including invitations, Q&A, addenda, and tracking submissions
- Facilitate seamless communication between sourcing, legal, finance, business teams, and suppliers
- Organize and validate supplier responses through eSourcing platforms
- Compile and present bid summaries, pricing comparisons, and evaluation matrices to support strategic decision-making
- Maintain detailed records of sourcing activities, including approvals, changes, and outcomes
- Assist in cost analysis and organize data inputs for total cost of ownership and ROI evaluations
- Ensure all activities comply with internal procurement policies and governance requirements
- Monitor sourcing progress and proactively identify and address potential risks or process deviations

Qualifications & Requirements
- Bachelor’s degree required
- Three to five years of experience in proposal coordination, bid management, sales operations, or related functions
- Proven track record in managing multiple projects in a fast-paced, deadline-driven environment
- Experience working with eSourcing tools or procurement systems
- Exceptional organizational skills and strong attention to detail
- Excellent written and verbal communication abilities
- Demonstrated ability to collaborate effectively across cross-functional teams
Ideal Candidate Snapshot
- Experience supporting formal RFx processes (RFI, RFP, RFQ) in a structured sourcing or procurement setting
- Familiarity with enterprise procurement or ERP systems
- Possession of APMP certification or similar professional credential is advantageous
- Highly organized, proactive, and detail-oriented
- Excellent interpersonal skills with the ability to facilitate complex multi-stakeholder communications
