As a Recruiter Coordinator, you will manage and coordinate the assignment process for healthcare professionals, acting as the primary liaison between clients, candidates, and the recruiting team. Your core responsibilities will include organizing assignments, facilitating onboarding, maintaining accurate schedules, and providing vital administrative support. You will also be responsible for ensuring all compliance documentation is up to date, handling candidate confirmation and communication, and supporting the overall workflow of the recruitment process. Recruiter Coordinator - Summary
- Key member of the staffing operations team, supporting recruiters and executive leadership.
- Responsible for coordinating provider assignments and ensuring smooth onboarding processes.
- Acts as the main point of contact for healthcare professionals and facility clients during assignment periods.
- Contributes to the overall mission of Palm Health Resources by facilitating effective staffing solutions nationwide.
Duties & Responsibilities
- Coordinate and manage assignments for healthcare professionals across numerous facilities.
- Serve as the primary contact for clients and providers during active assignments.
- Monitor staffing needs and proactively match qualified candidates to open positions.
- Maintain accurate records of placements, compliance documents, and assignment details using applicant tracking systems such as Salesforce.
- Prepare and send candidate confirmation letters, ensuring timely review and signature.
- Follow up with candidates regarding placement details and required documentation.
- Process pending placement orders, extension requests, and update team documentation in the database.
- Collaborate with credentialing teams to ensure providers meet all client and regulatory requirements.
- Communicate assignment specifications, including schedules, responsibilities, travel, and facility expectations, to providers.
- Track assignment contract dates to manage renewals, extensions, or replacements as needed.
- Troubleshoot and resolve assignment-related issues promptly and professionally.
- Maintain strong communication with clients, providing timely updates and ensuring satisfaction.
- Assist with timesheet tracking, payroll coordination, and invoice follow-up as required.
- Support additional administrative tasks and special projects as needed.

Qualifications & Requirements
- 1–2 years of experience in healthcare staffing, scheduling, or a similar administrative/coordination function (preferred).
- Proficient organizational and multitasking skills, especially in fast-paced settings.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and experience with applicant tracking systems; Salesforce experience is a plus.
- Strong calendar and time management abilities.
