Receptionist - Summary
The Receptionist serves as the front-line ambassador for the office, ensuring all clients, visitors, and colleagues receive a warm and professional welcome. This role is focused on delivering top-tier administrative support, managing communications, and maintaining organized office operations. Duties & Responsibilities
- Perform administrative and office support activities to facilitate smooth office operations.
- Field incoming telephone calls and manage switchboard operations as needed.
- Greet and direct visitors in a professional and friendly manner.
- Process and file paperwork, maintaining accurate records and documentation.
- Schedule appointments and manage calendar events for staff and clients.
- Handle incoming and outgoing mail, ensuring timely distribution and dispatch of correspondence.
- Mail billings and dispense brochures to current and prospective clients.
- Update policyholders’ contact information, such as phone numbers and email addresses, in company systems.
- Print, fax, or electronically send proof of insurance documents to clients upon request.
- Utilize word processing, spreadsheet, and presentation software for office tasks.
- Conduct basic Internet research and assist with information gathering as needed.
- Provide excellent customer service, addressing inquiries and resolving issues promptly.

Qualifications & Requirements

- Ability to work consistently throughout the workday without personal cell phone use, except in emergencies.
- Reliable transportation to and from the workplace.
- Clean criminal background; successful completion of a background check is required.
- Willingness and ability to obtain a Property and Casualty insurance license, if not already held.
- Willingness and ability to obtain a Life and Health insurance license, if not already held.
