We are seeking a detail-oriented and motivated Procurement Administrator to join our team. This full-time position plays a crucial role in supporting the purchasing department by managing administrative tasks, ensuring compliance with company materials guidelines, and assisting in the procurement of Maintenance, Repair, and Operations (MRO) supplies and services. The Procurement Administrator is responsible for maintaining efficient processes that keep production and plant operations running smoothly. As a Procurement Administrator, you will provide essential clerical and administrative support to the purchasing staff, allowing the team to focus on strategic procurement. Your role will involve upholding signature authority guidelines, ensuring compliance with Purchase Price Variance (PPV), and managing documentation related to manual requisitions and purchase order (PO) packages. You will also play a key role in expediting orders, tracking open purchases, and maintaining clear communication with suppliers to guarantee timely delivery of goods and services.
Daily responsibilities include sending and managing reschedule and lead time reports, entering supplier responses into the Oracle database, and collaborating with accounts payable to resolve invoice or credit discrepancies. You will assist buyers and the purchasing manager in research and problem resolution, audit and maintain PO documentation for accuracy, and track key performance metrics. Your attention to detail and organizational skills will be essential as you publish material and MRP reports and coordinate various administrative tasks such as scheduling appointments, managing information, and maintaining departmental files and office supplies.
The Procurement Administrator actively participates in departmental meetings and mentorship sessions, gaining the technical knowledge necessary for career advancement. Procurement Administrator - Summary

Duties & Responsibilities
- Support purchasing staff by relieving administrative responsibilities and adhering to materials guidelines.
- Manage reschedule and lead time reports, enter supplier responses into Oracle, and expedite open orders.
- Facilitate timely delivery of purchased items and services in line with production schedules.
- Oversee the procurement process, from requisition to receipt and acceptance of goods or services.
- Advise supervisors of any supplier issues that may impact contractual agreements or production timelines.
- Collaborate with accounts payable to resolve invoice or credit concerns efficiently.
- Assist buyers and purchasing managers in researching and addressing procurement-related issues.
- Audit and maintain purchase order documentation for compliance and accuracy.
- Track and publish buyer metrics, material, and MRP reports on a daily, weekly, and monthly basis.
- Coordinate administrative functions such as appointments, information management, file maintenance, and office supplies.
- Research, compile, and proof assignments using word processing tools.
- Participate in team meetings and mentorship programs to develop technical procurement skills.
- Support departmental projects and cross-functional business initiatives as required.

Qualifications & Requirements
- High School Diploma required; Associate or Bachelor’s degree in Business, Supply Chain, or related field is a plus.
- Minimum of 3 years of experience in a purchasing department preferred; candidates with strong interest in procurement will be considered for training.
- Experience in sheet metal fabrication or industrial manufacturing is an advantage.
- Previous exposure to purchasing activities and Oracle systems is highly desirable.
- Proficient in Microsoft Office; Google Workspace experience preferred.
- Strong organizational, interpersonal, written, and verbal communication skills are required.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- This is an ITAR facility; applicants must be a US Citizen or lawful permanent resident.
