Patient Services Representative - Summary
- The Patient Services Representative acts as the initial point of contact for all patient interactions, both in-person and over the phone, ensuring efficient and friendly communication throughout every stage of the patient’s visit.
- This role is essential in managing patient registration, verifying insurance details, scheduling appointments, and facilitating the check-in and check-out process.
- The Patient Services Representative works closely with clinical and administrative staff to deliver quality care and contribute to the overall positive patient experience.
Duties & Responsibilities
- Greet patients upon arrival and serve as the frontline representative for the clinic.
- Address patient inquiries and concerns both in person and via telephone, providing accurate information and exemplary customer service.
- Efficiently manage patient check-in and check-out processes, including the collection and reconciliation of co-payments and other payments.
- Accurately verify and update patient demographics and insurance information using electronic health record (EHR) systems such as CS-Link or Epic.
- Schedule appointments, register new patients, and assist with coordinating referrals and insurance authorizations for a wide range of benefit plans.
- Maintain compliance with department guidelines by ensuring that the workspace is clean, sanitized, and organized at all times.
- Collaborate with clinical staff to ensure timely patient flow and support the delivery of quality care.
- Safeguard patient confidentiality and adhere to all relevant privacy and security regulations.

Qualifications & Requirements
- At least one year of recent experience in an outpatient clinic or medical office setting is required.
- Proficiency in reading, understanding, and responding to detailed oral and written instructions.
- Experience with medical insurance processes, including knowledge of referral systems and benefit plan verification.
- Familiarity with electronic health record (EHR) systems, specifically CS-Link or Epic, is highly preferred.
- Understanding of medical terminology is advantageous and will contribute to your effectiveness in the role.
- Excellent communication, interpersonal, and organizational skills.
- Demonstrated ability to maintain professionalism and confidentiality in all interactions.
