Operations Specialist – Wealth Management Summary
- Supports independent financial advisors and internal teams by processing client account documentation and service requests.
- Plays a key role in advisor transitions, account onboarding, account maintenance, and daily brokerage operations.
- Ensures efficient, accurate, and timely processing of all client and account activities.

Duties & Responsibilities
- Prepare and process a variety of account-related paperwork, including account openings, maintenance, representative changes, and transition documentation.
- Provide high-quality client service and operational support to independent financial advisors, addressing their questions and concerns effectively.
- Review and follow up on both brokerage and non-brokerage account requests to ensure all documentation is complete and accurate.
- Serve as a subject matter resource for brokerage operations, sharing expertise with colleagues and supporting team knowledge-building.
- Coordinate with clearing firms to facilitate smooth account transitions and updates, while maintaining accurate records in workflow management systems.
- Handle inbound and outbound calls, documenting all activities and ensuring responsive communication with advisors and clients.
- Cross-train within the team and provide backup support during periods of high volume or staff absences, contributing to a collaborative team culture.

Qualifications & Requirements
- 2-3 years of experience in a related role; financial services or wealth management experience is preferred.
- Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and Teams.
- Ability to quickly learn and navigate brokerage systems such as NetX360, Wealthscape, Salesforce, FEI, and eQuipt.
- Demonstrated attention to detail, strong organizational skills, and effective time management capabilities.
- Bachelor’s degree preferred; high school diploma or GED required.
- Preferred qualifications include FINRA SIE and/or Series 7 certifications, broker-dealer experience, and familiarity with platforms such as Smartsheet or Envestnet.
