Office Manager - Summary

Duties & Responsibilities
- Oversee day-to-day office operations to maintain a productive and organized work environment.
- Manage supplies, inventory, and resource allocation across multiple office trailers and workspaces.
- Coordinate the arrival, accommodation, and support of visitors, travelers, and onsite personnel, ensuring a professional and welcoming environment.
- Support project documentation and communication processes, utilizing business tools such as Microsoft Office, Outlook, Teams, and project management platforms like Procore or SharePoint.
- Liaise with general contractors, subcontractors, client representatives, and corporate teams to facilitate smooth project progression.
- Implement structure, processes, and tracking systems to support operational efficiency in a fast-paced, early project build setting.
- Manage sensitive information with discretion and uphold the highest standards of confidentiality.
- Handle physical tasks related to the office environment, including lifting and moving supplies as needed.

Qualifications & Requirements
- Minimum of 3 years' experience in office management or a senior administrative role, preferably in construction, industrial, or complex multi-stakeholder environments.
- Demonstrated ability to operate effectively in fast-changing, start-up or early build environments, with a talent for establishing structure and new processes.
- Strong coordination and communication skills, with the ability to work with diverse groups including general contractors, subcontractors, client representatives, and corporate teams.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and comfort with learning new project management and documentation platforms such as Procore or SharePoint.
- Ability to work on-site full-time, manage sensitive information with discretion, and handle site-related logistical or physical tasks as required.
