Medical Secretary Job Description
The Medical Secretary plays a key role in ensuring the smooth operation of healthcare offices by providing comprehensive secretarial support to multiple staff members. As a Medical Secretary, you will manage a variety of administrative tasks that are essential to delivering quality patient care and maintaining an organized office environment. This full-time position is designed for individuals who possess strong organizational skills and a commitment to professionalism in a healthcare setting.
Responsibilities
- Delivering secretarial support to multiple individuals within the healthcare office, including typing correspondence, managing files, and performing other administrative tasks as required.
- Screening and answering telephone calls promptly, ensuring accurate transfer of calls to the appropriate personnel, and professionally directing inquiries as appropriate.
- Receiving, sorting, and distributing incoming mail, faxes, and electronic notifications to ensure timely communication within the office.
- Greeting and assisting patients in a courteous and professional manner, helping to create a welcoming atmosphere for all visitors.
- Scheduling patient appointments efficiently and accurately, maintaining the office calendar, and coordinating with clinical staff as needed.
- Utilizing and maintaining knowledge of office equipment and procedures to support daily operations.
- Maintaining organized records and ensuring that patient information and office files are handled in accordance with confidentiality policies.
- Assisting with additional administrative tasks as assigned to support office efficiency and patient care.
Qualifications
- High school diploma or GED required; completion of a 2-year business or secretarial school program is preferred.
- Minimum of two years of experience in a medical secretarial role within a healthcare environment.
- Proficiency in written and verbal communication, with strong attention to grammar, spelling, and punctuation.
- Demonstrated knowledge of medical office procedures and the use of standard office equipment.
- Strong organizational skills and a self-motivated approach to work assignments.
- Experience working with electronic medical records (EMR) systems is required.
