Medical Receptionist - Summary
- Acts as the first point of contact for patients, visitors, and staff in a primary care setting.
- Responsible for managing front office operations, including patient registration, appointment scheduling, and insurance verification.
- Contributes to a positive patient experience by delivering exceptional customer service and maintaining a professional environment.
Duties & Responsibilities
- Greet patients and visitors promptly and courteously upon arrival.
- Accurately recognize and register patients using electronic medical records (EMR), preferably eClinical Works.
- Verify patients’ current information and update their records as needed.
- Collect co-pays and outstanding account balances, ensuring accurate posting to the appropriate EMR sections.
- Review patient insurance details, check eligibility status in EMR notes, and communicate approvals or denials as necessary.
- Answer incoming calls professionally, direct calls appropriately, and take accurate messages for distribution.
- Schedule, confirm, and remind patients of upcoming appointments, ensuring efficient use of provider schedules.
- Process patient information forms and confirm data for each appointment.
- Ensure patients receive timely appointment reminders or appointment cards.
- Record and post daily deposits accurately and complete daily balance sheets.
- Assist in opening and closing front office operations, including monitoring cash drawers and processing credit card payments accurately.
- Maintain an organized and clean work and reception area to promote a professional image.
- Collaborate effectively with medical assistants, billing staff, providers, and other front office team members.
- Manage incoming and outgoing faxes, ensuring sensitive information is handled securely.

Qualifications & Requirements
- Completion of a Medical Office program certificate required.
- At least one year of experience in a medical office front desk or similar administrative role.
- Proficiency in EMR systems, with preference for experience in eClinical Works.
- Strong organizational skills and attention to detail.
- Team player with excellent interpersonal and communication abilities.
- Familiarity with medical terminology and insurance procedures.
- Ability to multitask and manage priorities in a dynamic environment.
