Medical Office Clerk - Summary

Duties & Responsibilities
- Answer main office phone lines and direct calls to the appropriate departments.
- Take and relay messages as required to ensure effective communication within the clinic.
- Determine patient eligibility for services and provide general information as needed.
- Validate and update patient demographic information using MHS GENESIS.
- Maintain accurate and up-to-date patient schedules, logs, and appointment records.
- Utilize government computer systems and protocols to manage appointment slots, cancellations, and rescheduling options.
- Contact patients to schedule, reschedule, or cancel appointments when necessary.
- Promote specialty consults and referrals within the medical treatment facility.
- Update, retrieve, and file medical records in accordance with established guidelines.
- Organize and research patient records for completeness, accuracy, and consistency.
- Initiate and maintain patient medical records, ensuring compliance with directives and privacy standards.
- Conduct daily retrieval and delivery of patient records to ensure timely arrival for appointments.
- Prepare statistical reports on record management and participate in quality assurance reviews.
- Retire medical records following regulatory procedures and guidelines.

Qualifications & Requirements
- High School diploma or GED required.
- Basic medical terminology knowledge.
- Basic Life Support (BLS) certification required.
- Minimum of two years relevant administrative experience, or RHIT/RHIA certification.
- Typing proficiency: minimum 50 words per minute.
- Strong command of English grammar, spelling, punctuation, and format for professional correspondence and reports.
- Proficiency with standard office equipment and office automation systems.
- Experience with medical record maintenance and management.
- Understanding of general medical ethics and telephone etiquette.
- Excellent communication and customer service skills.
- Familiarity with Joint Commission (JCAHO) standards.
- U.S. Citizenship required.
