As a Medical Administrative Specialist, you will provide comprehensive administrative and patient access support within a military healthcare environment. Your primary responsibilities will focus on coordinating patient management and referral processes, managing base access procedures, and ensuring strict compliance with DHA, HIPAA, TRICARE, and Joint Commission standards. You will serve as a key liaison, facilitating effective communication between medical staff, security personnel, and leadership to maintain seamless operations and high-quality customer service. Medical Administrative Specialist - Summary
- Provide administrative and patient access support in a military healthcare setting.
- Coordinate patient management, referrals, and base access procedures.
- Maintain compliance with DHA, HIPAA, TRICARE, and Joint Commission standards.
- Support communication between medical staff, security forces, and leadership.
- Ensure operational efficiency and high-quality customer service for all patients and visitors.
Duties & Responsibilities
- Coordinate patient referral processes and manage patient/visitor base access procedures.
- Maintain and update entry access lists for patients and visitors in collaboration with security forces.
- Manage agent card packages for base access for qualified individuals.
- Elevate denied passes to appropriate Security Forces and leadership for review and resolution.
- Monitor access processes for compliance with the Installation Defense Plan and hospital policies.
- Guide employees and staff on customer service related to base access and patient support.
- Utilize purchased software systems, including MHS Genesis, Tiger Connect, MS Teams, and Microsoft Office, to support administrative tasks.
- Stay current with evolving policies from the Department of Healthcare Administration, Installation Defense Plan, and local medical group directives.
- Communicate significant issues or potential breaches in security to the relevant command and security forces in a timely manner.
- Set priorities effectively to ensure smooth operation and optimal patient experience.
- Maintain effective oral and written communication with staff and leadership to support hospital accreditation and quality improvement efforts.
- Validate and implement facility policy and procedures in alignment with accreditation and regulatory standards.
- Provide timely notification and direction to staff regarding policy updates and base access requirements.
- Expedite resolution for base access denials within specified timeframes by working directly with the chain of command.

Qualifications & Requirements
- Associate's degree or equivalent required; bachelor's degree in healthcare administration, business, information management, or a related field preferred.
- At least two years of experience in medical administration services.
- U.S. citizenship is required.
- Strong working knowledge of patient management and referral processes in a hospital or clinical setting.
- Expertise in military and civilian healthcare systems, TRICARE, Medicare, Medicaid, and VA processes.
- Familiarity with DoW, Air Force, Army, Navy, and Joint Commission standards, as well as HIPAA privacy and confidentiality regulations.
- Proficiency in Microsoft Office programs, Outlook, and general internet use.
- Excellent oral and written communication skills and ability to coordinate with high-level officials.
- Ability to manage patient and visitor pass processes, including renewals and escalations.
- Demonstrated ability to provide high-quality service to patients and support staff in compliance with relevant policies and standards.
