Medical Administrative Assistant - Summary
- Support medical office operations by managing appointment lines and patient communications.
- Serve as the first point of contact for patients, providers, and clinic staff.
- Ensure accurate appointment scheduling, referral processing, and records management.
- Contribute to the overall mission of providing quality healthcare to service members and their families.
Duties & Responsibilities
- Engage with patients and manage both inbound and outbound phone calls and electronic communications efficiently and professionally.
- Generate, receive, and electronically deliver telephone messages to medical providers and clinic support staff.
- Assist walk-in customers with referral management and provide information as required.
- Perform business processes related to primary and specialty care, including:
- Appointing management: identifying, scheduling, cancelling, and rescheduling appointments.
- Consult management and tracking of referrals.
- Utilize the Automated Call Distribution (ACD) system and TRICARE Online Patient Portal for secure messaging.
- Manage the cancellation line feature and verify beneficiary eligibility.
- Assist with Right of First Refusal (ROFR) determinations and facilitate network report capture upon provider request.
- Maintain records management and ensure accuracy in all documentation.
- Attend required training activities in accordance with facility policies.
- Perform additional administrative and clerical duties as needed to support the medical team.
- Answer main office phone lines, directing calls to the appropriate sections or addressing inquiries independently.

Qualifications & Requirements
- High school diploma or General Educational Development (GED) equivalency required; completion of an administrative assistant program preferred.
- Basic Life Support (BLS) certification required.
- Minimum of six (6) months experience in a medical office setting, including scheduling or referral management.
- Customer service training and experience necessary.
- Typing proficiency with a minimum of 50 words per minute.
- Proficient in general office administrative and clerical skills, including use of standard office equipment and computer applications such as Microsoft Word, Access, and Excel.
- Strong communication and organizational skills with a focus on accuracy and professionalism.
- Excellent understanding of medical ethics, telephone etiquette, and HIPAA guidelines.
- Knowledge of TRICARE benefits, quality control, risk management, medical terminology, and records management preferred.
- Understanding of relevant government appointing information systems, including MHS Guide to Access Success, AFMS RMC Guide, and DHA/DoD regulations.
- Must be able to read, write, and speak English proficiently and communicate effectively with patients and staff.
- U.S. Citizenship required.
