IT Project Coordinator - Summary

Duties & Responsibilities
- Simultaneously support the coordination and execution of 5–10 IT projects of varying size and complexity.
- Assist Project Managers with project tracking, scheduling, and deliverable management.
- Coordinate with internal teams, stakeholders, vendors, and consultants to drive project completion.
- Provide timely project updates, status reports, and documentation throughout the project lifecycle.
- Organize and maintain project folders, records, and technical documentation.
- Assist in preparing and maintaining project initiation forms and detailed project schedules.
- Support risk identification and mitigation tracking efforts.
- Review and help develop IT-related contract documents and project deliverables.
- Assist with technical scope development for a range of IT infrastructure projects.
- Coordinate project submittals and approvals to ensure compliance and accuracy.
- Schedule and coordinate project meetings, create agendas, and document meeting notes.
- Develop and distribute reports, presentations, and project communication materials.
- Assist with tracking project budgets, schedules, and overall program performance.
- Coordinate with asset management teams regarding inventory and asset tracking.
- Maintain project status reporting related to construction and technology schedules.
- Assist with change order review and evaluation alongside Project Managers and Cost Estimators.
- Update risk logs and assist in identifying mitigation strategies.
- Support projects involving networking, communications, wireless deployments, physical security systems, VoIP, enterprise device deployments, server and endpoint infrastructure, and asset management.

Qualifications & Requirements
- Minimum of 3 years of experience coordinating and managing multiple IT projects.
- Experience working within capital improvement programs and familiarity with relevant codes and standards.
- Experience integrating technology within construction and engineering projects.
- Demonstrated experience coordinating multiple IT projects of varying size and complexity.
- Experience supporting projects throughout all phases of the project lifecycle, including planning, design, execution, and closeout.
- Technical familiarity with network infrastructure, servers, VoIP systems, CCTV, audio/visual systems, storage, and wireless technologies.
- Strong organizational, communication, and documentation skills.
- Ability to manage multiple priorities in a dynamic, fast-paced environment.
- Preferred: Certifications in technology or project management, familiarity with public bidding and contracting processes, experience on publicly funded programs, and experience facilitating end-user training sessions.
