Intake Specialist Position Overview
The Intake Specialist plays a vital role as the initial point of contact for individuals seeking assistance from a respected non-profit organization in Lancaster, PA. This full-time position is responsible for delivering trauma-informed customer service, ensuring each client is treated with empathy, respect, and professionalism. The Intake Specialist assesses client needs, connects them to the most appropriate resources, and supports them through the process of accessing counseling, support, and housing-related services. By identifying potential cases of housing discrimination and facilitating timely referrals, the Intake Specialist helps advance the organization’s mission to empower and support community members in need.
Key Responsibilities
- Deliver exceptional customer service to clients in person, by phone, and through electronic communications, adhering to trauma-informed care principles.
- Collect and accurately manage sensitive client information, including personal, contact, and demographic data, maintaining confidentiality at all times.
- Facilitate client intake by guiding individuals through the enrollment process for both internal and external programs, ensuring all required documentation is completed and gathered efficiently.
- Coordinate and schedule counseling appointments, confirm attendance, handle cancellations or rescheduling, and maintain up-to-date records in client management systems.
- Obtain all necessary signatures and documents from clients to support their participation in counseling and support services.
- Identify and assess cases of potential housing discrimination, make appropriate referrals to counseling and other support services, and provide guidance throughout the resolution process.
Required Knowledge, Skills, and Abilities
- Demonstrated strength in customer service, organization, and time management, ensuring a positive and efficient experience for every client.
- Exceptional attention to detail and proficiency in Microsoft 365 applications, including Word, Excel, and Teams, to effectively manage client data and communications.
- Excellent verbal and written communication skills that foster clear and respectful interactions with clients and colleagues.
- Spanish language proficiency is preferred, facilitating communication with a diverse client base.
- Strong sense of cultural sensitivity and an ongoing commitment to supporting client empowerment and personal growth.
- Ability to work collaboratively with team members and service providers to ensure clients are connected with the best possible resources.
