Insurance Agency Administrative Assistant - Summary

Duties & Responsibilities
- Greet clients, answer phone calls, and respond to email inquiries in a timely and professional manner.
- Manage appointment scheduling, office supplies, and daily administrative tasks to support agency operations.
- Reach out to prospects and existing clients for follow-up, birthday calls, and customer meetings to foster strong relationships.
- Prepare and process insurance forms, manage client files, and ensure all paperwork is accurately completed and filed.
- Enter and update client information in the agency management system, maintaining data accuracy and confidentiality.
- Handle billing inquiries, process payments, and follow up on overdue accounts as needed.
- Act as a liaison between clients and insurance agents, ensuring clear and effective communication for all parties.
- Assist in the coordination of marketing events, preparation of promotional materials, and management of social media accounts to support agency visibility and growth.
- Provide preliminary assistance to clients in the insurance claims process, including documentation and coordination with claims adjusters.

Qualifications & Requirements
- Ability to obtain a Property and Casualty insurance license as required by the agency.
- Preferred previous experience in insurance (State Farm experience is a plus) or a financial services setting.
