Front Desk Receptionist - Summary
The Front Desk Receptionist serves as the primary liaison between clients and the office, managing all front-desk activities and supporting administrative operations. This role involves a diverse range of duties, from greeting and assisting visitors to coordinating communication within the office. Duties & Responsibilities
- Serve as the first point of contact for clients, visitors, and team members, ensuring a welcoming and professional atmosphere.
- Answer and route incoming phone calls, provide information, and take accurate messages as needed.
- Schedule and confirm appointments for clients and staff, maintaining up-to-date calendars and appointment records.
- Process incoming and outgoing mail, including billing correspondence and important documents.
- Maintain and update client contact information in office databases, ensuring accuracy and privacy.
- Prepare and send proof of insurance or other documentation upon client request.
- Distribute brochures and informational materials to clients and visitors.
- Organize and file paperwork to keep office records orderly and accessible.
- Utilize office software for word processing, spreadsheets, and presentations as needed.
- Support additional administrative tasks and special projects as assigned by management.

Qualifications & Requirements
- Bilingual proficiency in English and Spanish is preferred to better serve a diverse clientele.
- Relevant licenses such as Series 6 & 63 or a life insurance license are considered a plus but not required.

- Outstanding written, verbal, and listening communication skills are required.
- Ability to work a full day without personal distractions, except in emergencies.
- Reliable transportation to and from the workplace is necessary.
- Successful background check required, with a clean criminal record.
