Executive Assistant - Summary
As an Executive Assistant, you will be responsible for managing a wide range of administrative and executive support tasks. You will support VP-level and higher leaders, especially within the technology sector, and play an integral role in facilitating company events, meetings, and daily operations. The Executive Assistant is expected to maintain confidentiality, exercise high discretion with sensitive information, and demonstrate excellent judgment in a rapidly evolving digital workplace. This role is pivotal in driving organizational efficiency and ensuring leaders can focus on strategic initiatives.
Duties & Responsibilities
- Provide end-to-end support for all events sponsored by company VPs, ensuring seamless execution from planning to completion.
- Assist in organizing and facilitating Town Hall, All Hands Meetings, and other company-wide events, contributing to a positive and engaging work culture.
- Manage complex calendars for senior executives, including scheduling meetings, coordinating appointments, and prioritizing requests to maximize productivity.
- Assist with accruals, audit expenses, and support budgeting processes to maintain financial accuracy and compliance.
- Prepare both digital and physical materials for meetings and functions, including accurate agendas and supporting documents.
- Identify areas for process improvement, act as a strategic thought partner, and proactively suggest operational enhancements for executive workflows.
- Coordinate travel arrangements, process expense reports, and ensure timely reimbursements using modern workplace tools such as Concur and Office 365.
- Support various administrative functions including correspondence, database management, and document preparation.
- Collaborate with cross-functional teams to ensure alignment and efficiency in project execution and communication.

Qualifications & Requirements
- Minimum of 5 years’ experience as an executive assistant supporting VP-level or higher leaders, particularly within the technology sector.
- Proven track record in providing administrative support, including calendar management, travel booking, expensing, event coordination, and budget assistance.
- Strong technical fluency with modern workplace tools such as Office 365, Zoom, Concur, and AI platforms.
- Exceptional organizational and time-management skills, with the ability to handle multiple priorities and adapt to changing demands.
- Resourcefulness, a proactive attitude, and a strong desire to learn, grow, and contribute to organizational transformation in a rapidly evolving technological landscape.
