Executive Assistant - Summary

Duties & Responsibilities
- Manage and optimize the CEO's calendar, prioritizing activities to ensure alignment with strategic objectives.
- Serve as a thoughtful gatekeeper, balancing accessibility with the need for focused executive time.
- Prepare agendas, meeting materials, and briefing documents for leadership and executive meetings.
- Support the development and consolidation of high-quality leadership materials and deliverables.
- Capture action items from meetings and ensure consistent follow-through across all relevant stakeholders.
- Track commitments, maintain visibility across multiple workstreams, and provide timely updates to the CEO.
- Facilitate coordination and communication among the executive team, ensuring alignment and momentum.
- Arrange and manage complex domestic and international travel, building detailed and efficient itineraries.
- Draft, edit, and manage communications on behalf of the CEO.
- Coordinate board-related timelines and help stakeholders meet deliverable deadlines.
- Maintain strict confidentiality and handle sensitive information with discretion and sound judgment.

Qualifications & Requirements
- Minimum of 5 years of executive assistant experience, with proven support at the VP or C-suite level.
- Exceptional organizational skills and meticulous attention to detail.
- Demonstrated ability to manage multiple, competing priorities and adapt to changing circumstances.
- Experience preparing executive-level materials and supporting leadership meetings.
- Strong written and verbal communication skills, with an ability to draft and edit documents for executive review.
- High level of discretion, professionalism, and trustworthiness in handling confidential information.
- Proficiency with Microsoft Office Suite (Outlook, Teams, PowerPoint) is required.
- Comfortable leveraging collaboration and productivity tools; familiarity with AI tools is a plus.
