Executive Assistant - Summary
- Support agency operations and leadership across multiple locations
- Ensure efficient workflow and team coordination in a fast-paced insurance environment
- Contribute to the agency’s mission of delivering outstanding client service
Duties & Responsibilities
- Assist the agent with operational management over three locations and a 24-member team
- Create and run daily progress and sales reports to monitor agency performance
- Process payroll for the agency bi-monthly using Gusto and manage retirement contributions for eligible staff
- Handle monthly chargebacks for commission payments and oversee bill payments for agency operations and investment properties
- Monitor and approve paid time off requests to ensure adequate staffing coverage
- Coordinate recruitment activities, including applicant tracking and conducting phone screenings
- Assist with answering phone calls during staffing shortages and direct client inquiries from the agent’s email inbox
- Manage team schedules and maintain office supply inventory to support daily operations
- Collaborate with the events coordinator to help organize marketing events and prepare promotional materials
- Attend select sponsored or attended events throughout the year to represent the agency
- Conduct compliance checks and reporting activities as part of licensed responsibilities

Qualifications & Requirements
- Ability to obtain a Property and Casualty insurance license within a designated timeframe
- Previous experience as an assistant or in an administrative support role
- Background in administrative or customer service roles, preferably in insurance or financial services
- Proficiency with Microsoft Office Suite and experience with agency management software
- Excellent verbal and written communication skills
- Strong organizational skills with an ability to multitask and prioritize effectively
- Professional and friendly demeanor, focused on client satisfaction
- High accuracy in data entry, document preparation, and record-keeping
- Ability to work independently and resolve issues proactively
