Working as an Executive Assistant, you will interact directly with clients, agents, and other team members. Your role will involve a variety of administrative responsibilities, including client communications, office management, document preparation, and preliminary client assistance in insurance claims. Executive Assistant - Summary
- Serve as the first point of contact for clients, handling inquiries and providing exemplary customer service.
- Manage office communications, appointments, and scheduling to ensure smooth agency operations.
- Assist with documentation, data entry, and recordkeeping to maintain accurate and organized files.
- Support the agency team in marketing, event planning, and social media management.
Duties & Responsibilities
- Greet clients and visitors, answer phone calls, and respond to emails in a timely and professional manner.
- Manage and organize the daily schedule, book appointments, and monitor office supply levels.
- Prepare, process, and file insurance forms; maintain client files to ensure accuracy and compliance.
- Input client information into the agency management system and update records as needed.
- Handle billing, process client payments, and follow up on overdue accounts.
- Act as a liaison between clients and agents, ensuring clear, effective, and confidential communication.
- Assist in organizing marketing events, preparing promotional materials, and managing agency social media accounts to enhance client engagement.
- Provide initial assistance in the insurance claims process, ensuring proper documentation and communication with claims adjusters.

Qualifications & Requirements
- Previous administrative or customer service experience, preferably in insurance or financial services.
- Prior experience with insurance, HR, and QuickBooks is required.
- Ability to obtain a Property and Casualty license is essential.
- High proficiency in Microsoft Office Suite and familiarity with agency management software.
- Excellent written and verbal communication skills.
- Bilingual Spanish/English skills are a plus, but not required.
- Strong organizational abilities and attention to detail, with the capacity to multitask and prioritize effectively.
