Executive Assistant Job Overview
The Executive Assistant plays a vital role in supporting legal and claims departments within an organization, ensuring the smooth execution of daily operations and fostering positive client relationships. In this full-time position, based in Ft. Lauderdale, FL, the Executive Assistant will provide comprehensive administrative and client support to the General Counsel and other executive leaders. The individual will be responsible for managing schedules, facilitating communication, and assisting with a variety of special projects. The ideal candidate will demonstrate exceptional organizational abilities, outstanding communication skills, and a commitment to confidentiality and customer service.
Key Responsibilities
- Assist legal professionals with case management, document preparation, and legal research, providing vital support throughout the legal process.
- Organize and maintain legal files, ensuring all documents are accurate, up-to-date, and handled with strict confidentiality.
- Draft and prepare documents and correspondence under the supervision of attorneys, ensuring clarity and professionalism in all communications.
- Serve as a back-up point of contact for client service representatives (CSRs), addressing client inquiries and providing timely updates on claims status.
- Manage executive schedules and appointments, coordinating meetings and ensuring the efficient use of time for senior leaders.
- Screen calls and emails for executives, acting as a gatekeeper and prioritizing communications as necessary.
- Organize and handle confidential and sensitive information with discretion, maintaining trust and professionalism at all times.
- Prepare reports, presentations, and other materials as needed to support executive and departmental needs.
- Manage and execute special projects and initiatives as assigned by executive leadership, demonstrating adaptability and problem-solving skills.
- Act as a liaison between legal, claims, and other company departments, as well as clients, ensuring consistent and accurate information flow.
- Provide accurate and timely information to clients on the status of their claims, supporting a positive client experience.
- Assist clients in navigating the claims process, addressing concerns and questions with empathy and professionalism.
- Maintain thorough, accurate records of legal and claims activities, supporting compliance and operational excellence.
- Communicate effectively with clients, legal professionals, and internal teams, fostering a collaborative work environment.
- Draft clear, concise correspondence related to legal matters and claims, upholding the organization’s standards for written communication.
Qualifications
- 3-5 years of relevant experience in an administrative or executive assistant role, preferably with exposure to legal or claims environments.
- A college degree is highly preferred; equivalent work experience will be considered in lieu of a degree.
- Excellent written and verbal communication skills, with a demonstrated commitment to delivering exceptional customer service.
- Familiarity with legal terminology and processes is helpful but not required for this full-time position in Ft. Lauderdale, FL.
- Strong attention to detail and a proven ability to maintain accurate records.
