Document Control Specialist - Summary
- Responsible for overseeing and maintaining all quality management documentation in alignment with ISO 9001 standards.
- Ensures the accuracy, security, and accessibility of both digital and physical documents throughout their lifecycle.
- Coordinates document revision processes and maintains up-to-date records for regulatory and audit readiness.
- Collaborates closely with internal teams to support organizational compliance and operational excellence.
Duties & Responsibilities
- Administer document control processes, including creation, review, approval, distribution, and archiving of documents.
- Implement and monitor strict version control and change management protocols to ensure document integrity.
- Support compliance with quality management systems, specifically ISO 9001, through accurate record-keeping and process documentation.
- Assist with internal and external audits by preparing and providing required documentation.
- Manage and maintain electronic document management systems (EDMS) and physical filing systems for secure and efficient retrieval.
- Facilitate communication between departments for the timely review and revision of documents.
- Train staff on document control procedures and best practices, promoting a culture of quality and compliance.
- Ensure confidentiality, security, and compliance of all documents according to company policies and industry standards.

Qualifications & Requirements
- Associate's degree in business administration, information management, or a related field preferred; equivalent experience considered.
- At least two years of experience in document control or administrative support roles within relevant industries.
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management systems such as SharePoint or Documentum.
- Strong understanding of document control principles, version control, and regulatory or quality compliance standards.
