Contract Administrator - Summary
The Contract Administrator is responsible for supporting the full life cycle of contract management, from initial data entry to routing contracts, billing, and maintaining accurate records. This position requires a detail-oriented professional who is comfortable handling administrative duties and supporting multiple departments, especially those engaging with IT services. The Contract Administrator will ensure that all contract-related data is properly recorded and maintained, accounts are set up accurately, and billing processes are executed efficiently. The role also involves updating databases and spreadsheets, handling administrative tasks, and collaborating with internal and external stakeholders to deliver high-quality contract support services.
Duties & Responsibilities
- Perform data entry tasks to ensure accurate contract information is recorded in company systems.
- Route contracts through appropriate channels for review and approval, ensuring timelines are met.
- Manage billing activities by creating invoices and supporting documentation for city departments utilizing IT services.
- Set up new accounts for clients or vendors as needed, ensuring accuracy and compliance with organizational procedures.
- Update and maintain spreadsheets and databases to track contract status, billing, and related activities.
- Charge city departments for IT services provided, ensuring proper documentation and approval processes are followed.
- Provide general administrative support to the contracts team, including document management and filing as required.
- Collaborate with internal departments and external partners to ensure seamless contract execution and support.
- Assist with other administrative duties as needed to support the overall efficiency of the contracts department.

Qualifications & Requirements
- Minimum of 3 years of experience working in a contracts administration or similar role.
- Professional experience in supporting contract processes, including invoicing and billing for clients or vendors.
- Proficiency in Microsoft Office applications, especially Excel, for managing procurement and contract data.
- Bachelor’s or Associate’s degree preferred.
- Prior experience working in a city or government organization is considered a plus.
