Collections Specialist (AR Collections) - Summary
- Responsible for first-party business-to-business (B2B) collections activities, ensuring timely payment and account reconciliation.
- Act as a key point of contact between the company and its customers regarding outstanding invoices and payment arrangements.
- Support the monthly financial close process and assist with general accounting duties as needed.
- Facilitate communication and collaboration with internal departments to resolve billing issues and maintain accurate financial records.
Duties & Responsibilities
- Perform proactive outreach to assigned customers via phone, email, and fax to collect outstanding balances and clarify payment terms.
- Monitor accounts receivable aging reports and follow up on overdue accounts promptly to minimize delinquencies.
- Document collection efforts, payment arrangements, and customer communications in the accounting system.
- Collaborate with internal teams to resolve billing disputes, validate account information, and recommend accounts for legal escalation when appropriate.
- Reconcile customer accounts, manage account clean-up activities, and oversee the setup of Electronic Funds Transfer (EFT) vendors.
- Utilize accounting platforms such as QuickBooks, Chargebee, Stripe, Zuora, SAP, and Sage, demonstrating adaptability to new financial software tools.
- Participate in the monthly close process, providing necessary documentation and support to ensure accurate financial reporting.
- Assist with ad hoc projects and tasks as assigned by management to meet departmental goals.

Qualifications & Requirements
- Minimum of 2 years’ experience in accounts receivable and collections, preferably in a B2B environment.
- Strong understanding of debits, credits, and general accounts receivable accounting principles.
- Proficiency in QuickBooks and/or Zuora, with advanced Microsoft Excel skills.
- Excellent verbal and written communication skills, including negotiation and interpersonal abilities.
- Exceptional organizational skills, attention to detail, and ability to manage multiple tasks efficiently.
- Demonstrated ability to work independently as well as part of a collaborative team.
- Adaptability to new systems and willingness to learn new accounting software as required.
