Administrative Assistant - Summary

Duties & Responsibilities
- Train staff members in the use of computer applications and office procedures.
- Answer telephones, direct calls, take messages, and perform errands as required.
- Prepare meeting agendas, attend meetings, and record and transcribe minutes.
- Arrange travel, manage work schedules, calendars, and appointments.
- Open and route incoming mail, respond to correspondence, and prepare outgoing mail.
- Compile, copy, sort, and file records of office activities and business transactions.
- Prepare and mail bills, contracts, policies, invoices, and checks.
- Operate office machines, such as photocopiers, scanners, fax machines, voicemail systems, and computers.
- Type, format, proofread, and edit correspondence, reports, and other documents.
- Review files and records to obtain information to respond to internal and external requests.
- Compute, record, and proofread data and other information with high accuracy.
- Process and prepare documents, such as business or government forms and expense reports.
- Maintain and update filing, inventory, mailing, and database systems.
- Communicate with customers, employees, and others to answer questions, disseminate information, take orders, and address complaints.
- Collect, count, and disburse money; perform basic bookkeeping and complete banking transactions.
- Troubleshoot office equipment issues and coordinate necessary repairs.
- Perform other administrative duties as assigned to support office needs.
