Administrative Assistant - Summary

Duties & Responsibilities
- Prepare, format, and manage project documentation including reports, correspondence, submittals, and meeting materials.
- Maintain organized electronic and physical filing systems for projects, contracts, and records.
- Assist with document control, including tracking revisions, approvals, and distribution.
- Coordinate calendars, schedule meetings, and prepare agendas and meeting minutes.
- Support proposal preparation, including assembling qualification packages and bid documents.
- Process incoming and outgoing correspondence and communications in a professional manner.
- Assist with invoicing, expense tracking, and basic accounting or billing support as needed.
- Interface with clients, vendors, subcontractors, and internal staff courteously and efficiently.
- Perform general office management tasks such as ordering supplies and coordinating office needs.
- Ensure compliance with company procedures, project requirements, and confidentiality standards.

Qualifications & Requirements
- Minimum of 3–5 years of administrative experience within construction, engineering, or a related professional services environment.
- High school diploma or equivalent required; associate’s degree or higher is a plus.
