Duties & Responsibilities- Generate, review, and distribute customer invoices daily, ensuring accuracy and compliance with company policies.
- Record and apply incoming payments through various methods, including credit card, ACH, wire transfer, check, and cash, to the appropriate customer accounts.
- Reconcile the Accounts Receivable sub-ledger to the General Ledger regularly to maintain accurate financial records.
- Monitor customer accounts to ensure timely payments, proactively managing aging reports and following up on overdue balances.
- Investigate and resolve billing discrepancies or payment disputes in a timely and professional manner, maintaining positive customer relationships.
- Assist with month-end and year-end closing activities by preparing documentation, account analysis, and supporting financial statements.
- Support internal and external audits by providing requested documentation and account reconciliations.
- File invoice copies and daily cash receipts for recordkeeping and audit readiness, ensuring all documentation is organized and easily accessible.
- Process check refund requests for both short-term and long-term deposits, adhering to company policies and procedures.
- Update customer payment terms as requested by relevant departments, ensuring accurate and current account information.
- Charge customer credit cards on file according to established schedules (e.g., 1st and 15th of each month).
- Assist Accounts Payable with petty cash requests, recording and reconciling petty cash transactions regularly.
- Initiate proactive communications with customers regarding past-due invoices through phone calls and email follow-ups to facilitate timely payments.
- Prepare and send account statements via email or mail to keep customers informed of their account status.
- Notify relevant departments of delinquent accounts for further action, collaborating on resolution strategies.
- Work closely with internal teams to resolve pricing disputes and collaborate on addressing severely overdue accounts.
- Recommend accounts for write-off or suggest applying aged credits as income, where appropriate, based on company guidelines.
- Perform routine banking errands, including deposits, withdrawals, and other authorized transactions as needed.
