As the first point of contact for clients and visitors, the Receptionist plays a critical role in ensuring the smooth operation of front office activities and upholding high standards of client satisfaction.
Key Responsibilities- Deliver excellent service to clients by responding efficiently to inquiries and maintaining a welcoming office environment.
- Provide detailed information about agency products and services, addressing customer questions and concerns with accuracy and professionalism.
- Effectively manage incoming telephone calls, directing inquiries to appropriate team members and handling requests promptly.
- Resolve customer issues by providing timely solutions and alternatives, and follow up to ensure complete resolution and satisfaction.
- Maintain accurate records of customer interactions, process client accounts, and organize essential documentation in line with agency procedures.
- Support other administrative duties as assigned to facilitate the efficient operation of the front office.
- Willingness to obtain a Property and Casualty insurance license as required by the agency and State Farm guidelines.
- Proficiency in computer usage and comfort with various social media platforms.
- Excellent verbal communication and presentation skills, with the ability to actively listen and engage in meaningful interactions.
- Strong phone etiquette and experience handling both inbound and outbound calls.
- Genuine enthusiasm for helping customers, demonstrating patience, empathy, and a positive attitude.
- Effective problem-solving abilities and a commitment to advocating for clients as needed.
- Ability to multitask, prioritize responsibilities, and manage time efficiently in a fast-paced environment.
