Job Description:
We are seeking a friendly and organized Receptionist to join our team at. The ideal candidate will be the first point of contact for our clients and will play a crucial role in creating a positive first impression of our office. The Receptionist will be responsible for managing front desk operations, providing exceptional customer service, and supporting our insurance agents and administrative staff.
Key Responsibilities:
- Greet clients and visitors in a warm and professional manner.
- Answer incoming phone calls, direct them to the appropriate personnel, and take messages when necessary.
- Respond to client inquiries regarding insurance products and services, providing accurate information or directing them to the appropriate agent.
- Schedule and confirm appointments for clients with insurance agents.
- Maintain a tidy and organized reception area, ensuring that client materials and brochures are up-to-date.
- Process incoming and outgoing mail and packages.
- Assist with administrative tasks such as filing, data entry, and document preparation.
- Maintain confidentiality of sensitive client information in accordance with company policies and regulations.
- Support the insurance team with various tasks as needed, including preparing client files and managing records.
- Perform other duties as assigned by management.
Qualifications:
- High school diploma or equivalent; additional education or certifications in office administration or customer service is a plus.
- Previous experience as a receptionist or in a customer service role, preferably in an insurance or financial services environment.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., phones, printers).
- Excellent organizational skills and attention to detail.
- Ability to multitask and work effectively in a fast-paced environment.
- Strong interpersonal skills and a positive attitude.
- Ability to maintain professionalism and confidentiality.
