Operations Coordinator - Summary

Duties & Responsibilities
- Coordinate travel arrangements for staff and management, ensuring cost-effectiveness and adherence to company travel policies.
- Create purchase requisitions and receive purchase orders in the company’s ERP system, maintaining accurate records for audits and financial tracking.
- Assist with customer billing processes and employee time entry, ensuring accurate and timely submissions for payroll and client invoicing.
- Monitor accounts payable communications, including email and mail, to obtain invoice approvals and accurately code invoices for processing.
- Prepare comprehensive accounts payable packets by compiling invoices, purchase orders, approvals, and related supporting documentation.
- Create and manage work orders and sales orders using the ERP system, supporting project management and sales operations.
- Process incoming mail and perform general administrative duties, contributing to an organized and efficient office environment.

Qualifications & Requirements
- Minimum of 5 years’ experience in administrative, operations, or accounting support roles, preferably within industrial, manufacturing, or engineering settings.
- Demonstrated experience with accounts payable, purchase order management, billing, and ERP systems.
- Advanced proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
- Strong organizational and multitasking abilities, with excellent communication skills.
