Key Responsibilities
- Act as the first point of contact for office operations, greeting and assisting visitors, customers, and vendors to ensure a professional and welcoming environment.
- Oversee daily office administrative tasks, including managing emails, payables, and banking activities. Provide essential support with payroll processing, 401(k) deposits, and routine bank reconciliations.
- Utilize QuickBooks to create and manage purchase orders, generate and send invoices, and track accounts receivable.
- Obtain and maintain current insurance certificates, ensuring all financial documentation is accurate and up to date.
- Process and monitor purchase orders to guarantee accuracy in supply orders and facilitate prompt vendor payments.
- Manage accounts receivable functions by issuing invoices, following up on outstanding payments, and ensuring timely collections.
- Communicate professionally through email and coordinate effectively with supervisors, external partners, and vendors to resolve accounting and administrative issues.
- Maintain comprehensive documentation for subcontracts and insurance, assisting in the identification and resolution of any discrepancies.
- Support the processing of insurance claims and contribute to the preparation of performance evaluations.
- Pursue or hold a Notary Public credential to assist with document authentication as needed for company operations.
Qualifications
- High school diploma or GED required.
- At least two years of experience in accounting or administrative roles, with demonstrated proficiency in QuickBooks or a willingness to learn accounting software.
- Knowledge of accounts receivable, purchase orders, payroll, job costing, and bank reconciliation processes.
- Exceptional communication skills, both written and verbal, and strong attention to detail in all tasks performed.
