The Medical Secretary plays a crucial role in supporting the daily administrative operations of a healthcare practice. In this Full-time position, the Medical Secretary serves as the primary point of contact for patients and physicians, ensuring smooth communication, efficient scheduling, and timely management of patient information. This role is essential for maintaining workflow and delivering a high standard of customer service within a medical office environment.
Key Responsibilities
- Answer incoming telephone calls promptly, take accurate messages, and forward them to the appropriate physician within 30 minutes of receipt.
- Return patient calls as directed by the physician and communicate prescription orders to pharmacies only as prescribed by the physician.
- Handle appointment scheduling according to physician protocols, ensuring accuracy and consideration of each provider’s preferences.
- Monitor and complete assigned tasks in the electronic task queue, including ensuring all calls are addressed and returned before the end of the workday.
- Distribute laboratory results to patients via phone, mail, or the patient portal, adhering to the physician’s specified method of communication.
- Coordinate referrals and prior authorizations on a daily basis, ensuring all necessary paperwork is completed and submitted in a timely manner.
- Maintain professional and compassionate customer service at all times, addressing patient concerns within the limits of the Medical Secretary role and without providing medical advice.
- Check in with assigned physicians throughout the day to monitor workflow and obtain end-of-day confirmation before leaving the office.
- Adhere to work schedule policies, ensuring work hours do not exceed 40 hours per week unless approved by management.
- Ensure all patient information remains confidential and is never discussed or stored on personal cell phones, maintaining strict compliance with privacy regulations.
Qualifications
- High school diploma or equivalent required; post-secondary coursework in medical administration or a related field is preferred.
- Proven experience in a medical office, clinic, or healthcare administrative setting is beneficial.
- Strong communication and organizational skills, with the ability to prioritize and manage multiple tasks efficiently.
- Familiarity with electronic health records (EHR) systems, telephone etiquette, and basic medical terminology is desirable.
- Ability to maintain confidentiality and comply with all patient privacy regulations.
- Excellent customer service skills, demonstrating professionalism and empathy in patient interactions.
