Medical Practice Manager Position Overview
The Medical Practice Manager is responsible for the efficient and compliant management of operations within a community health program setting. This full-time position is integral to ensuring that health center staff are fully trained, protocols are consistently followed, and patients receive the highest standard of care. The Medical Practice Manager collaborates closely with leadership to implement systems that support the organization’s mission, vision, and values, adhering to all compliance requirements and internal policies.
Key Responsibilities
- Work directly with the Senior Director of Clinical Operations to design and implement operational systems that drive organizational goals.
- Ensure ongoing compliance with HIPAA, infection control, and all relevant healthcare regulations to protect patients and staff.
- Oversee and coordinate staff training to ensure all team members are knowledgeable about compliance protocols and best practices for patient service.
- Maintain accurate payroll processes and ensure timely approval and submission.
- Manage staffing levels efficiently to support providers, ensuring that all staff competencies are reviewed and updated annually.
- Supervise billing processes, ensuring accuracy and prompt submission, and work with staff to improve collection rates on copayments and outstanding patient balances.
- Lead monthly staff meetings, document proceedings, and ensure that meeting minutes are submitted to management as required.
- Oversee tracking of ancillary testing and specialty appointments, ensuring all follow-up is managed efficiently.
- Monitor and order office and medical supplies to maintain budget adherence while supporting operational needs.
- Actively participate in Operations Team and Managers Team meetings to foster a positive workplace environment and drive organizational improvements.
- Ensure representation at monthly staff meetings by coordinating rotating attendance among staff members.
- Conduct regular performance reviews for direct reports, supporting their professional growth and development as well as pursuing personal learning opportunities.
- Prepare and submit monthly reports and statistics related to enrollment, referrals, and patient visits as requested by management.
- Perform additional relevant duties as assigned by management to support the overall success of the community health program.
Essential Skills and Qualifications
- Bachelor's degree preferred; a combination of relevant education and experience will be considered.
- At least three years of experience in medical office management or dental practice management is preferred.
- Ability to perform all essential duties satisfactorily, with reasonable accommodations available for individuals with disabilities.
- Strong knowledge of healthcare compliance standards, including HIPAA and infection control protocols.
- Demonstrated experience in staff management, training, and performance evaluation.
- Excellent organizational, communication, and leadership skills.
- Proficiency in billing, payroll, and budget management for a healthcare setting.
