Medical Practice Administrator Job Summary
We are seeking a dedicated and experienced Medical Practice Administrator to oversee the daily operations and management of our physician-owned group practice. This full-time position is responsible for ensuring efficient clinic functions, aligning operational processes with the highest standards, and supporting the delivery of quality patient care. The Medical Practice Administrator will work closely with physician owners and the management team to lead staff, implement organizational goals, and drive ongoing improvement initiatives. This role is pivotal in facilitating coordination between clinical and administrative teams and ensuring compliance with healthcare regulations. Key Responsibilities
- Establish and implement clinic goals, policies, procedures, and operational systems to enhance patient care and clinic efficiency.
- Develop and execute long-range strategic plans in collaboration with physician owners and management staff.
- Oversee daily operations for the practice and facility, ensuring all functions are running smoothly and efficiently.
- Supervise and provide leadership to the Clinical Nurse Manager, Office/Human Resources Manager, Lab Manager, Staff Accountant, and all clinic staff.
- Collect and analyze data for fiscal and statistical reporting to support the practice’s financial objectives.
- Direct human resources functions, including effective administration of compensation, benefits, job descriptions, personnel policies, and payroll practices.
- Manage and oversee the company’s 401K and profit-sharing plans, working closely with financial advisors and third-party administrators for reporting and compliance.
- Participate in the recruitment, training, performance evaluation, and supervision of all clinic staff to ensure a high-performing team environment.
- Collaborate with organizations such as Accountable Care Organizations and quality teams to meet healthcare quality measures, including the management of Medicaid patients.
- Negotiate and oversee insurance contracts to support the practice’s operational and financial goals.
- Coordinate with the quality team to manage chronic care and remote patient monitoring programs, ensuring the highest standard of patient management.
- Manage procurement and inventory of medical, office, and cleaning supplies, including negotiation of vendor contracts for cost efficiency.
- Oversee inventory and ordering of vaccines and biologics, ensuring compliance with immunization registry requirements and supporting clinical staff in these areas.
- Troubleshoot and resolve administrative and operational problems, including maintenance of clinic property, computer systems, and software applications.
- Ensure compliance with all healthcare regulations, accreditation standards, and legal requirements.
- Serve as a liaison between the clinic, external agencies, and the broader healthcare community.
- Coordinate advertising initiatives and promote the practice within the local community.
- Assist physician owners in developing and executing strategic initiatives based on patient and clinic needs.
- Maintain the highest level of confidentiality regarding patient and clinic information.
- Perform additional duties as assigned by physician owners or senior management.
Qualifications
- Master’s degree in healthcare administration, business administration, or a related field preferred, but not required.
- Minimum of seven years of executive-level experience, including at least five years in healthcare administration.
- Licensure or eligibility for licensure as required by background and credentials.
Skills and Knowledge
- Comprehensive understanding of healthcare management principles and operations.
- Familiarity with the organization and policies of community health systems, enabling collaboration with other healthcare providers.
- Proficiency with practice management computer systems and electronic health records.
- Expertise in clinic policies, procedures, and best practices for patient care and operational efficiency.
- Knowledge of government regulations, reimbursement policies, Medicare, Medicaid, managed care, and third-party payor guidelines.
