Medical Office Manager Job Overview
Arundel Medical Group is seeking an experienced and qualified Medical Office Manager (OM) to oversee the daily operations of our established and growing primary care practice. This full-time role is essential in ensuring the smooth workflow of our office, supporting both administrative and clinical staff, and maintaining high standards of patient service. The Medical Office Manager will work closely with team members to optimize efficiency and sustain uninterrupted patient care.
Key Responsibilities
- Supervise and support administrative staff in addressing patient needs and inquiries.
- Coordinate administrative and healthcare provider schedules to ensure optimal coverage.
- Respond to billing and insurance questions via phone, providing accurate and timely information.
- Monitor and respond to office emails, ensuring prompt communication with patients and staff.
- Oversee the medical billing team and collaborate on billing processes.
- Maintain financial records, including check registers, and ensure timely payment of office bills.
- Manage all incoming and outgoing office mail, distributing correspondence as appropriate.
- Handle patient billing, including management of bad debt and collection accounts.
- Maintain and update provider schedule templates for the upcoming year, ensuring efficient appointment management.
- Keep accurate records of provider licenses, DEA, and CDS renewals, monitoring expiration dates and processing renewals as needed.
- Facilitate the recruitment process by posting job advertisements and conducting interviews for new candidates.
- Supervise the training and onboarding of new employees, fostering a collaborative team environment.
- Oversee payroll management to ensure accurate and timely compensation for staff.
- Maintain office inventory lists, placing orders for office and medical supplies as necessary.
- Perform additional duties as needed to support the team and maintain smooth office operations.
Qualifications and Skills
- Proven work experience as a Medical Office Manager (OM) in a healthcare setting.
- Strong knowledge of healthcare systems operations, medical billing, and coding, including ICD-10, CM, and CPT.
- Familiarity with electronic medical record (EMR) systems; Athena EMR experience is a plus.
- Understanding of accounting principles and administrative processes relevant to medical practices.
- Ability to handle medical records with discretion and comply with HIPAA regulations at all times.
- Excellent organizational, time-management, and multitasking skills to manage multiple priorities in a fast-paced environment.
- Strong communication skills and a commitment to outstanding customer service.
- Experience with Accountable Care Organization (ACO) operations is preferred but not required.
- Ability to remain calm and effective in stressful situations, providing leadership and guidance to staff.
