Medical Office Manager Overview
We are seeking an experienced Medical Office Manager to oversee the daily administration and operational management of a reputable medical practice. This full-time or part-time position is vital to maintaining effective workflow, upholding compliance standards, and ensuring high-quality patient care within our healthcare environment. The Medical Office Manager position is ideal for individuals with a background in healthcare administration, financial management, and staff supervision, particularly those with experience in Accountable Care Organizations (ACO).
Responsibilities
- Financial Management: Develop, monitor, and manage the office budget to align with revenue goals. Oversee all financial operations, including payroll, expense tracking, and annual budget creation. Manage the entire revenue cycle, from patient intake to final payment, ensuring accuracy in billing and collections.
- Staff Management and Development: Direct daily staffing to ensure efficient operation of the medical office. Lead recruitment, hiring, onboarding, and training of all personnel, such as medical assistants and administrative support. Create staff schedules to guarantee adequate coverage for patient care. Foster ongoing staff development, certification compliance, and continuing education. Conduct performance evaluations and regular staff meetings to promote team growth.
- Office Administration: Oversee patient appointment scheduling to optimize workflow and reduce wait times. Supervise communication with patients regarding appointments, follow-ups, and inquiries. Ensure proper handling and storage of medical records in compliance with HIPAA regulations. Manage insurance verification processes, ensuring timely and accurate billing and reimbursements.
- Compliance and Regulatory Oversight: Ensure adherence to health and safety protocols, including sterilization, infection control, and OSHA standards. Maintain strict compliance with HIPAA regulations and ensure all staff are trained in patient confidentiality policies. Oversee credentialing processes for healthcare providers and perform regular audits of clinical and financial operations to ensure compliance with legal standards.
- Technology and Systems Management: Oversee the use and maintenance of Electronic Health Records (EHR) systems, ensuring proper documentation and coordination across providers. Implement robust data security measures to protect patient and business information from unauthorized access and cyber threats.
- Patient Care Coordination: Develop and maintain protocols to uphold high standards of patient care. Monitor patient satisfaction, address complaints, and resolve concerns promptly. Facilitate collaboration and communication among healthcare professionals to ensure comprehensive patient care.
Key Qualifications
- Proven experience in a healthcare office management role, preferably within a family medicine or multi-specialty practice setting.
- Strong leadership and interpersonal skills with the ability to manage, motivate, and support a diverse team.
- In-depth knowledge of healthcare operations, financial management, medical coding and billing, and insurance processes.
- Excellent organizational and problem-solving abilities, with a consistent record of maintaining workflow during high-pressure situations.
- Exceptional communication skills for effective interaction with patients, staff, and healthcare providers.
- Experience with Electronic Health Records (EHR) and healthcare information systems.
- Familiarity with compliance standards, including HIPAA, OSHA, and credentialing requirements.
- ACO experience is preferred.
