Medical Administrative Assistant - Summary
- The Medical Administrative Assistant provides critical administrative support for appointment scheduling, referral management, and patient communications in a medical office environment.
- Responsible for handling high-volume phone lines, electronic messaging, and direct patient engagement.
- Ensures compliance with medical ethics, privacy laws, and organizational policies.
- Plays a key role in the effective operation of primary and specialty care services by supporting patients, providers, and administrative staff.
Duties & Responsibilities
- Manage and triage inbound and outbound phone calls, providing prompt and accurate information to patients and healthcare providers.
- Receive, generate, and electronically deliver telephone messages to appropriate medical personnel and support staff.
- Assist walk-in patients with referral management and guide them through the necessary administrative processes.
- Utilize call distribution systems and secure patient portals to facilitate appointment scheduling, rescheduling, and cancellations.
- Identify appointment availability and manage scheduling for both primary and specialty care services.
- Review, disposition, and track medical referrals, ensuring timely processing and communication with all stakeholders.
- Verify patient eligibility and assist in determining the Right of First Refusal (ROFR) when necessary.
- Maintain accurate records management in accordance with healthcare regulations and organizational guidelines.
- Support ongoing training activities and participate in quality improvement initiatives as required by the medical facility.
- Perform a variety of administrative and clerical tasks, including handling main office phone lines, managing cancellation features, and supporting operational functions.
- Collaborate with medical staff to capture and report network data as requested by referring providers.
- Adhere strictly to privacy and confidentiality standards, including HIPAA, DoD, and other relevant regulations.
- Other related administrative duties as assigned by supervisors or management.

Qualifications & Requirements
- High school diploma or equivalent (GED) required; completion of an administrative assistant program is desirable.
- Minimum of six months' experience in a medical office setting, with direct involvement in scheduling or referral management.
- Proficient typist with a minimum typing speed of 50 words per minute.
- Strong organizational, administrative, and clerical skills, including experience with standard office equipment and Microsoft Office applications (Word, Excel, Access, Windows OS).
- Excellent verbal and written communication skills; must be able to read, write, and speak English fluently.
- Customer service training or experience preferred; professional demeanor and ability to interact effectively with clients and staff.
- Familiarity with TRICARE benefits, HIPAA guidelines, quality control, risk management, medical terminology, and medical records management.
- Basic knowledge of ICD-10 coding, government referral management business rules, and medical appointing systems is desirable but not required.
- Must possess Basic Life Support (BLS) certification.
- U.S. citizenship required.
