Key Responsibilities
- Create, process, and track purchase orders for IT goods and services, ensuring compliance with organizational and governmental procurement policies.
- Receive and verify delivery of IT equipment, software, and services, collaborating with internal stakeholders to confirm order accuracy and resolve discrepancies.
- Route contracts and related documentation for review, approval, and execution, adhering to established workflow protocols.
- Coordinate the billing and charging of city departments for IT services, maintaining accurate records and supporting interdepartmental communication.
- Maintain and update spreadsheets and databases to track procurement activity, contract status, and departmental charges.
- Provide general administrative support as required, assisting in file management, documentation, and process improvement initiatives.
- Deliver high-quality customer service to internal teams and external vendors, fostering positive relationships and ensuring timely resolution of procurement-related inquiries.
- Utilize Microsoft Office Suite (Word, Excel, Outlook) for day-to-day tasks, including data entry, reporting, and communication.
- Conduct internet research to source products, compare pricing, and gather information for informed purchasing decisions.
- Navigate and operate internal systems and procurement platforms with ease, ensuring all transactions are accurately captured and compliant with standard operating procedures.
Required Qualifications
- Minimum of 2 years' experience in an administrative or procurement-focused position, preferably within an IT or government environment.
- Demonstrated experience working with clients and vendors to support invoicing, billing, and contract management.
- Proficient in Microsoft Office applications, especially Excel, with a strong understanding of how to use spreadsheets for tracking and reporting procurement activities.
- Experience with data entry, file management, and the ability to efficiently manage multiple administrative tasks simultaneously.
- Ability to conduct thorough internet research to support purchasing and sourcing activities.
- Excellent communication and interpersonal skills, with a commitment to providing effective customer service to both internal and external stakeholders.
- Bachelor's or Associate's degree preferred, or equivalent combination of education and experience in a related field.
