The Insurance Agency Administrative Assistant is an essential member of the team at a State Farm Agent office. Key Responsibilities
- Greet clients, answer phone calls, respond to emails, and address client inquiries in a professional and timely manner.
- Manage schedules for the agency, book appointments, and maintain adequate office supplies to ensure smooth operations.
- Prepare and process insurance forms, manage client files, and ensure all paperwork is completed accurately and filed appropriately.
- Enter and update client information in the agency management system, maintaining accurate and up-to-date records for all accounts.
- Handle billing inquiries, process client payments, and follow up on overdue accounts to maintain agency cash flow and client satisfaction.
- Act as a liaison between clients and agents, ensuring clear, effective, and professional communication at all stages of the insurance process.
- Assist with organizing marketing events, preparing promotional materials, and managing content for the agency's social media accounts as directed.
- Provide preliminary assistance to clients during the claims process, ensuring proper documentation and timely communication with claims adjusters.
Qualifications and Requirements
- Ability to obtain an OH Property and Casualty License as required by the agency.
- Previous experience in insurance, preferably with State Farm, is highly valued.
- Background in administrative or customer service roles, ideally within an insurance or financial services environment.
- Proficiency in Microsoft Office Suite and familiarity with agency management software is required for daily tasks.
- Excellent verbal and written communication skills to interact effectively with clients, agents, and team members.
- Demonstrated organizational skills with the ability to multitask and prioritize responsibilities efficiently.
- A friendly and professional demeanor with a strong focus on delivering exceptional customer service and satisfaction.
- High level of accuracy in data entry and document preparation to maintain agency compliance and operational standards.
