Executive Assistant Position Overview
IDR is currently seeking a highly organized and adaptable Executive Assistant to join one of our top clients in New York in a full-time capacity. The Executive Assistant will play a vital role in providing comprehensive administrative support to executive leadership, ensuring the seamless management of calendars, travel logistics, and daily operations. Responsibilities
- Provide backup support across multiple business areas, gaining familiarity with various workloads and activities to ensure effective coverage or assistance as needed.
- Deliver a broad range of administrative and executive support tasks to executives, maintaining high standards of performance and professionalism at all times.
- Offer afternoon coverage for the reception desk, managing visitor greetings and communication with efficiency and courtesy.
- Translate executive requests and requirements into actionable plans, managing the process to achieve organizational objectives.
- Coordinate logistics for both domestic and international travel, including the preparation of detailed itineraries, agendas, directions, and necessary backup materials to ensure smooth travel experiences.
- Prepare and process accurate expense reports in a timely manner, ensuring compliance with firm policies and procedures.
Qualifications
- 1-3 years of experience in an executive or administrative assistant role, preferably within a similar business environment.
- College degree preferred, though not required.
- Familiarity with the financial industry is highly desirable and considered a strong asset.
- Outstanding written, editing, and verbal communication skills, with the ability to interact effectively across all levels of the organization.
- Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. Experience with Concur Expense Solutions is a plus.
- Superior time management capabilities, critical thinking skills, and a keen attention to detail.
