Executive Assistant to CEO Overview
The Executive Assistant to CEO position is a critical administrative role that provides comprehensive support to the Chief Executive Officer and, as needed, the broader executive team. This full-time position requires exceptional organizational skills, professionalism, and the ability to maintain a high degree of confidentiality. As the primary administrative resource for the CEO, the Executive Assistant ensures seamless daily operations and efficient communication within the organization. Working in a dynamic and fast-paced environment, you will be instrumental in facilitating the CEO's productivity and effectiveness.
Key Responsibilities
- Calendar and Schedule Management: Oversee all aspects of the CEO's schedule, including appointments, meetings, and events. Coordinate across multiple calendars and proactively manage meeting requests to maximize productivity.
- Travel Coordination: Arrange complex travel logistics for the CEO, including flights, accommodations, ground transportation, and itineraries. Optimize travel plans for efficiency and coordinate directly with clients and partners as needed for meeting scheduling.
- Communication Management: Draft, review, and send correspondence such as emails and letters on behalf of the CEO. Ensure all communications are clear, professional, and consistent with organizational standards. Relay messages accurately and respond to inquiries with discretion.
- Meeting Preparation and Participation: Schedule recurring and ad hoc meetings with leadership teams. Prepare agendas, secure venues and catering, and distribute relevant materials. Attend meetings as requested to take minutes, track action items, and supervise follow-up on deliverables.
- Financial Tracking: Monitor and report on expenditures related to the executive cost center and special executive projects. Ensure expenses align with budgeted expectations and provide timely updates to the CEO.
- Presentation Support: Update and format PowerPoint presentations for executive and company-wide meetings, ensuring all data is current and accurately represented.
- Organizational Structure Management: Maintain and update master organizational charts and tracking lists, supporting the CEO and executive team in personnel planning and reporting.
- General Administrative Support: Perform essential office duties such as filing, document formatting, and responding to administrative requests from the CEO and executive team. Assist with internal systems, such as People Hub, to support HR and operational tasks.
- Gatekeeping: Serve as the primary point of contact for internal and external parties seeking access to the CEO. Evaluate and redirect inquiries as appropriate, ensuring efficient resolution while upholding the CEO's priorities and company protocols.
