The Executive Assistant plays a vital role in supporting the daily operations of a leading insurance agency. As an Executive Assistant, you will act as a central point of contact for clients and staff, providing essential administrative and operational support to ensure the smooth functioning of the agency.
Key Responsibilities
- Manage the executive's calendar, schedule appointments, and coordinate meetings to optimize time management and workflow.
- Maintain an organized and welcoming office environment, ensuring all reception areas are clean and adequately stocked with necessary materials.
- Support the executive with external business activities, assisting in tasks related to outside business interests as needed.
- Greet clients, answer incoming phone calls, respond to emails, and handle inquiries with professionalism and efficiency.
- Monitor office supply inventory and order supplies as required to maintain daily operations.
- Prepare, process, and manage insurance documents and client files, ensuring all paperwork is completed accurately and stored securely.
- Enter and update client information in the agency management system, maintaining confidentiality and data integrity.
- Handle billing inquiries, process account payments, and follow up on overdue accounts to ensure timely resolution.
- Serve as a liaison between clients and agents, facilitating clear communication and prompt resolution of issues.
- Assist in the organization of marketing events, preparation of promotional materials, and management of the agency's social media accounts to enhance client engagement.
- Provide preliminary assistance to clients navigating the insurance claims process, ensuring accurate documentation and effective communication with claims adjusters.
Qualifications
- Previous experience in an administrative or customer service role, ideally within the insurance or financial services industries.
- Proficiency in Microsoft Office Suite and familiarity with agency management software.
- Exceptional verbal and written communication skills.
- Strong organizational abilities, with demonstrated capacity to multitask and prioritize tasks efficiently.
- Professional, friendly demeanor with a focus on delivering excellent customer service.
- High level of accuracy in data entry and document preparation.
- Ability to work independently, resolve client issues, and identify effective solutions.
