Construction Project Coordinator Position Overview
The Construction Project Coordinator plays a vital role in supporting commercial construction projects from inception through completion. This full-time position is essential for ensuring that project documentation, communication, and coordination run smoothly and efficiently within a commercial construction environment. Based in San Diego, CA, the Construction Project Coordinator works closely with project managers, subcontractors, and various stakeholders to facilitate the successful execution of construction projects while maintaining organizational standards.
Key Responsibilities
- Distribute project bid requests to subcontractors and ensure timely responses throughout the bid process.
- Communicate with subcontractors via phone and email to verify the status of bids and address bid-related inquiries.
- Manage and update the subcontractor call list, maintaining accurate records to ensure comprehensive bid coverage.
- Organize and track Requests for Information (RFIs) from subcontractors for effective project management.
- Collect, organize, and follow up on subcontractor bids, ensuring all necessary documentation is obtained and properly filed.
- Assist in maintaining the subcontractor database and ensure it is current and accurate.
- Process, monitor, and manage submittals and RFIs to facilitate clear communication with project stakeholders.
- Resolve discrepancies by gathering and analyzing relevant information to support project accuracy and compliance.
- Document meeting notes and distribute them to appropriate team members to keep all parties informed.
- Gather quotes from subcontractors and material suppliers to support the project bidding and procurement process.
- Maintain comprehensive plan lists and project contact lists for easy reference and project coordination.
- Update and manage plan revisions both manually and electronically, ensuring the most current information is available.
- Perform filing and document control tasks to support project organization and compliance.
- Send, track, and receive subcontracts and subcontractor insurance to maintain project compliance.
- Manage electronic project documents using share-file platforms for secure access and collaboration.
- Coordinate with government agencies to secure necessary permits for project progression.
- Assist subcontractors in assembling billing packages and ensuring all required paperwork is complete.
- Prepare close-out document packages to ensure proper project completion and handover.
- Support project management in various administrative and coordination tasks as needed.
- Provide notary services as required for project documentation.
- Manage the Global Directory within Procore and update AIA Subcontract and Owner Templates as needed.
- Maintain knowledge of governing state retention and lien period limits to support compliance.
- Update the Global Project List regularly to reflect current project statuses.
- Assist in project management tasks such as project directory maintenance, notification group assignments, and flagging contract requirements.
- Post RFIs and submittals to Procore following project manager review and follow up with architects and engineers as needed.
- Request and track subcontractor submittals, create submittal logs, and manage plan overlays for updated plans.
- Prepare, issue, collect, and track owner change orders and billings as directed.
- Assist with cost plus audit preparation, fund control, and cost coding of invoices and timecards.
- Draft and finalize owner meeting minutes to ensure clear communication of decisions and action items.
Required Qualifications
- 2-4 years of experience in construction administration or a related field is preferred.
- High school diploma or equivalent is required.
- Strong proficiency in Microsoft Office (Word, Outlook, Excel), PDF software (Bluebeam or Adobe), Procore, and Sage.
- Demonstrated math skills, effective time management, and the ability to work under pressure to meet deadlines.
- Excellent oral and written communication skills, with the ability to work both independently and as part of a collaborative team.
- Strong organizational skills and the motivation to handle multiple tasks efficiently.
