Construction Project Coordinator Overview
The Construction Project Coordinator plays a vital role within the construction industry, supporting project management teams in the seamless execution of commercial construction projects. As a key member of the operations group, the Construction Project Coordinator ensures effective communication, document control, and coordination among project stakeholders. This full-time position offers an opportunity to contribute to a range of commercial construction projects in San Marcos, CA, while developing valuable skills and gaining industry experience in a dynamic work environment.
Responsibilities
- Distribute project bid requests to a diverse group of subcontractors, ensuring comprehensive coverage and timely responses throughout the bidding phase.
- Conduct follow-up communications with subcontractors by phone and email to monitor the status and accuracy of received bids.
- Organize and track Requests for Information (RFIs) from subcontractors, providing detailed updates to project management teams.
- Maintain and update the subcontractor call list, ensuring all relevant notes and bid coverage information are accurately recorded.
- Oversee the collection, organization, and processing of subcontractor bids and related documentation.
- Assist in managing and updating the subcontractor database, supporting ongoing project needs and compliance requirements.
- Coordinate, track, and process submittals and RFIs, and follow up with project architects and engineers as needed.
- Resolve project documentation discrepancies by gathering and analyzing pertinent information from all involved parties.
- Record meeting minutes, ensuring all project discussions and decisions are accurately documented for future reference.
- Gather and compare quotes from subcontractors and material suppliers, supporting cost estimation and procurement efforts.
- Maintain plan lists and comprehensive project contact directories for easy reference and communication.
- Manage both manual and electronic updates to project plans, ensuring accurate slip-sheeting and version control.
- Maintain organized project files and document control systems for all key project documents.
- Send, track, and receive subcontracts and insurance certificates from subcontractors, ensuring compliance and risk management.
- Manage the electronic transfer and organization of project documents using share-file platforms.
- Coordinate with government agencies to secure necessary project permits and regulatory approvals.
- Assist subcontractors in assembling billing packages and verifying required documentation for payment processing.
- Prepare comprehensive close-out document packages at project completion.
- Provide day-to-day support to the Project Management team, aiding in various administrative and coordination tasks.
- Support notary needs and maintain project directories in platforms such as Procore.
- Update AIA subcontract and owner templates, and reference governing state retention and lien period limits as necessary.
- Maintain the global project list and ensure all project information is current and accessible.
- Assist with project management functions, such as directory maintenance, RFI and submittal log updates, cost coding, owner billing preparation, and meeting minutes documentation.
Technical Skills
- Proficiency with Microsoft Office Suite (Word, Outlook, Excel) and PDF software (such as Bluebeam or Adobe).
- Experience working with construction management platforms, including Procore and Sage.
- Strong mathematical aptitude, time management abilities, and the capability to work both independently and collaboratively within a team environment.
- Excellent organizational skills to manage multiple tasks and deadlines in a fast-paced construction setting.
Qualifications
- High school diploma or equivalent required.
- 2-4 years of experience or knowledge in construction administration preferred.
- Strong written and verbal communication skills, with an emphasis on professionalism and clarity.
- Demonstrated ability to build positive relationships with colleagues, subcontractors, and clients.
- Detail-oriented mindset and proactive approach to problem-solving.
