Construction Project Coordinator Job Description
The Construction Project Coordinator plays a vital role in supporting the successful execution of commercial construction projects from start to finish. This full-time position is based in San Marcos, CA, and is ideally suited for individuals who have previous experience in construction administration and a passion for organization, communication, and process management. As a Construction Project Coordinator, you will serve as a critical liaison among project managers, subcontractors, vendors, and other stakeholders to ensure that all aspects of project coordination are handled efficiently and effectively.
Key Responsibilities
- Distribute project bid requests and coordinate with subcontractors throughout the bidding process, ensuring timely receipt and organization of all bids.
- Maintain and update the subcontractor call list, track bid coverage, and ensure all required bid documentation is collected and organized.
- Act as a point of contact for bid-related questions, facilitating clear and effective communication between the project team and subcontractors.
- Assist in managing and updating the subcontractor database, ensuring all information is accurate and current.
- Oversee and process submittals and Requests for Information (RFIs), tracking their progress and following up with architects, engineers, and subcontractors as needed.
- Organize, file, and control project documentation, including plans, contact lists, permits, insurance certificates, and subcontracts.
- Manage electronic project documents using platforms such as Procore, ensuring all stakeholders have access to current and accurate information.
- Coordinate with government agencies to obtain necessary permits and ensure regulatory compliance.
- Support the project management team by preparing close-out document packages, assisting with owner billings, and tracking change orders.
- Prepare meeting notes, maintain project directories, and support project communication through regular updates and distribution of information.
- Utilize technical skills in Microsoft Office (Word, Outlook, Excel), PDF software (Bluebeam or Adobe), and construction management tools such as Procore and Sage.
- Assist with cost coding of material supplier invoices and labor timecards, and prepare for cost plus audit processes.
- Maintain a high level of accuracy and attention to detail in all project coordination activities.
- Collaborate with team members to manage workload, meet deadlines, and contribute to the overall success of each construction project.
- Support the maintenance and updating of templates, logs, and project lists as required by project management procedures.
Qualifications
- 2-4 years of experience in construction administration or a related field is preferred.
- High school diploma or equivalent required.
- Strong organizational, time management, and communication skills.
- Proficiency in Microsoft Office suite, PDF software, and construction management software such as Procore and Sage.
- Ability to work independently as well as collaboratively within a team environment.
- Demonstrated ability to adapt to changing priorities and manage multiple tasks simultaneously.
