Key Responsibilities
- Greet and assist visitors promptly and professionally, ensuring each interaction reflects positively on the agency.
- Respond to routine telephone inquiries, providing accurate information and directing calls as needed to appropriate team members.
- Prepare and maintain reports, records, and information as requested by the agent, supporting agency operations and compliance.
- Establish and organize client and agency files, ensuring all documentation is accurate, secure, and up-to-date.
- Monitor inventory and requisition office supplies as needed to maintain smooth daily operations.
- Assist in the onboarding and training of less experienced staff, sharing best practices and agency procedures.
- Gather information from existing and potential clients to facilitate product and service inquiries.
- Support licensed team members with client pivots to new product lines, helping to drive agency growth and meet customer needs.
Required Skills and Qualifications
- Fluency in both Spanish and English, with strong verbal and written communication skills in both languages.
- Proven ability to communicate effectively with a diverse range of clients and team members.
- Demonstrated ability to maintain confidentiality and apply appropriate security measures when handling sensitive information.
- Organizational skills and the ability to adapt to fluctuating workloads and shifting priorities.
- Proficiency in standard office equipment, including computers, terminals, and peripheral devices.
- Attention to detail and thorough knowledge of grammar, punctuation, and syntax relevant to business correspondence and reports.
- Experience in a variety of office support roles, demonstrating a strong understanding of secretarial and administrative procedures.
- Commitment to accuracy and timeliness in completing assigned tasks.
- Willingness and ability to obtain Property & Casualty insurance license (required for ongoing employment).
- Preparedness to stay informed of product changes, licensing requirements, technical updates, and continuing education.
