Key Responsibilities
- Welcome and assist visitors to the office, ensuring a friendly and professional atmosphere.
- Respond to routine telephone inquiries, providing accurate information and directing calls as appropriate.
- Prepare reports, maintain records, and compile information for the agent as requested.
- Establish and maintain organized filing systems for client and office documentation.
- Order and manage office supplies to ensure operational efficiency.
- Assist in training and supporting less experienced staff members as needed.
- Gather information from existing and prospective clients to support service delivery and identify their needs.
- Work collaboratively with licensed team members to introduce clients to new insurance product lines.
Required Skills and Qualifications
- Proficiency in both English and Spanish is essential for effective communication with diverse clients.
- Strong written, verbal, and listening skills to interact with clients and colleagues professionally.
- Ability to handle confidential information with discretion and adhere to security protocols.
- Demonstrated ability to adapt to fluctuating workloads and shifting priorities in a fast-paced environment.
- Experience in office support roles, with knowledge of standard secretarial and administrative procedures.
- Familiarity with operating computers, office terminals, and related peripheral equipment.
- Knowledge of grammar, punctuation, and syntax for preparation of written materials.
- Strong organizational skills and attention to detail, ensuring work is completed accurately and on time.
- Motivation to become a licensed insurance professional, with a willingness to pursue a Property & Casualty license if not already obtained.
- Commitment to ongoing learning, including staying current on product updates, licensing, and professional development requirements.
