Key Responsibilities
- Greet clients, answer phone calls, respond to emails, and manage client inquiries to guarantee timely and effective communication.
- Manage and coordinate schedules, book appointments, and maintain inventory of office supplies to support agency efficiency.
- Prepare and process insurance forms, maintain client files, and ensure all necessary paperwork is completed accurately and organized for compliance.
- Input client information into the agency management system and update records as needed to ensure data integrity and accuracy.
- Handle billing inquiries, process client payments, and follow up on overdue accounts to support financial operations.
- Act as a liaison between clients and agents, facilitating clear and professional communication to enhance the client experience.
- Assist in organizing marketing events, prepare promotional materials, and help manage the agency's social media presence to support agency growth.
- Provide preliminary assistance to clients during the claims process, ensuring documentation is complete and communication with claims adjusters is maintained.
Qualifications
- Ability to obtain appropriate state insurance licensing (such as Property and Casualty License).
- Previous insurance experience, especially with State Farm or similar agencies, is preferred but not required.
- Background in administrative support or customer service, ideally within insurance or financial services.
- Proficiency with Microsoft Office Suite and familiarity with agency management software.
- Excellent verbal and written communication skills to interact professionally with clients and team members.
- Strong organizational skills and ability to multitask and prioritize tasks for maximum efficiency.
- Professional, friendly demeanor with a focus on delivering high-quality customer satisfaction.
- High degree of accuracy in data entry and document preparation.
- Ability to work independently, resolve client issues, and find effective solutions.
