Administrative Manager Overview
The Administrative Manager position is a full-time contract opportunity with the Tennessee Department of Health, Division of Health Disparities Elimination. This role is essential for supporting both staff and business operations, as well as facilitating the development, revision, and fiscal accountability of contracts. The Administrative Manager will collaborate with division and office directors to ensure the effective management of administrative and fiscal functions. The position will be based in Nashville, Tennessee, and offers a hybrid work schedule, requiring the selected candidate to be onsite 1-2 days per month, with some in-state travel expected.
Key Responsibilities
- Prepare and edit meeting minutes and notes to ensure accuracy and completeness.
- Finalize meeting minutes in a timely manner, store them electronically, and distribute to relevant staff and partners as needed.
- Monitor the allocation of funds, review expenditures, and ensure that funds are spent according to established funding guidelines.
- Review, monitor, and analyze budgets and expenditures for compliance and alignment with division objectives.
- Prepare and submit documentation for competitive procurement processes, tracking progress through completion.
- Perform a variety of general administrative duties to support program operations and organizational effectiveness.
- Assist with the development and revision of contracts and maintain fiscal accountability for all contractual agreements.
- Review routine financial reports submitted by contractors and provide recommendations to division leadership to ensure expenditures align with approved budgets.
- Work with teams across the division to provide administrative support and help achieve program goals.
Minimum Qualifications
- At least five years of progressively responsible professional staff administrative experience, demonstrating a strong ability to manage complex administrative functions.
- Excellent written and oral communication skills, with experience preparing official documents and correspondence.
- Proven experience in monitoring budgets and expenditures for compliance and efficiency.
- Hands-on experience with accounts payable and accounts receivable processes.
- Strong strategic and critical thinking abilities to develop solutions and achieve outcomes.
- Demonstrated ability to research issues and solve problems creatively and effectively.
- Collaboration skills and the ability to work well with diverse team members toward shared program goals.
- Exceptional interpersonal skills, maintaining a collaborative and energetic approach to administrative management.
- Ability to develop and maintain effective partnerships and collaborations with internal and external stakeholders.
Education Requirements
- Bachelor's degree from an accredited college or university is required. Relevant full-time experience in increasingly responsible sub-professional, paraprofessional, or professional roles may be substituted for the educational requirement on a year-for-year basis, up to a maximum of four years.
