The Accounts Payable Specialist (AP Specialist) plays a vital role in maintaining the financial integrity and smooth operations of Meador, an Openwork Company. As an AP Specialist, your primary focus will be on ensuring the efficient and accurate management of vendor invoices and related disbursements. This includes daily monitoring of the AP email inbox for incoming vendor invoices, printing and scanning invoices for record-keeping, and obtaining necessary approvals to facilitate prompt payment. Meticulous attention to detail is essential for applying correct General Ledger (G/L) coding, verifying purchase order receipts, and maintaining compliance with the organization’s financial protocols.
The AP Specialist is also responsible for reviewing the Accounts Payable Aging report to identify invoices due for payment, securing approval for payment batches, and uploading payment files to the bank for ACH transactions. A structured month-end close process involves following a vendor checklist to ensure all invoices are properly entered or accrued. You will monitor AP aging and promptly resolve discrepancies, ensuring strong vendor relationships and uninterrupted business operations.
Additional responsibilities include reconciling vendor and credit card statements, assisting with the 1099 process, and supporting the Accounts Payable Manager with audit requests and special projects. Experience with high-volume AP invoice processing and familiarity with ERP systems (with preference for Microsoft Dynamics) are essential for success in this role.
